What is the Opportunity?
We are currently recruiting a permanent, full-time Corporate Records Administrator for our Corporate Records Department.
The Corporate Records Administrator reports directly to the Lead, Corporate Records. This position carries out professional records management work of considerable complexity to ensure compliance with the organization’s corporate records program. The Corporate Records Administrator also executes and/or supports initiatives and provides advice to business units concerning the maintenance of their records programs and records storage.
Requirements
What will you do?
Maintain, contribute to and ensures compliance with corporate classification structures, retention schedules, vital records storage and protection including living documents that require continuous review and updating
Contribute to the implementation and maintenance of records management policies and procedures
Provide assistance and direction on records processes and procedures to City departments through policy and procedures and relevant systems manuals and ensures these manuals are updated and kept current
Manage the inventory of off-site records though the records lifecycle
Provide ongoing support and learning opportunities as required in records management, RecFIND and other applications as required
Provide backup for front-line reception staff in the Civic Centre when required
What do you need to succeed?
You are an ideal candidate if you have the following:
A minimum two (2) year technology diploma or certificate in Records Management, Business Administration or related field with a focus on development and implementation of a corporate records management system preferably in a municipal environment
A Certified Records Manager designation or working towards the CRM designation would be an asset
Certified Information Professional (CIP) completion or working towards the completion of certification would be an asset
Membership in ARMA International and/or AIIM International and completion of related courses would be considered an asset
A combination of education and experience would be considered an asset
A minimum of three (3) years of directly related experience in a Corporate Records environment
Experience in municipal government would be an asset, or experience working in a similar organization and high-paced environment
Experience with Electronic record-keeping, use of an EDRMS and electronic folder structures is required
Experience with the RecFIND system would be an asset
A good knowledge of physical and electronic records systems and enterprise content management coupled with experience providing training to cohorts and working with internal and external clients would be considered an asset
