Description
The University of Virginia seeks a Student Records (SR) Analyst to join the Office of the University Registrar (UREG). UREG advances the University's teaching mission by maintaining the accuracy, integrity, and security of student academic records. It also advances the institution's commitment to Inclusive Excellence by continuously considering the impact of its work on diverse communities and by attentively listening to and responding to the needs of those communities, especially marginalized communities. This position will contribute to the smooth operation of academic record processes in UREG and the schools and implement related process improvements in the Student Information System (SIS). Part of the UREG student records support team, they work closely with stakeholders in the schools, departments, and administrative units to foster success for students and colleagues alike.The successful candidate will be expected to:
- Support UREG's commitment to Inclusive Excellence by developing a culture that is supportive, inclusive, collaborative, and healthy. Apply an equity-minded approach to every aspect of UREG's work.
- Manage functional processes related to student academic records in the Student Information System (SIS)
- Provide maintenance and support to schools during Orientation and start and end of term activities (e.g., Dean's list)
- Process enrollment uploads for schools each term
- Coordinate process for cancelling students at the start of each term: work closely with Student Financial Services (SFS), schools, and provost's office to define parameters for cancellation, draft student communications and work with UREG Communications Team to revise, finalize, and disseminate, run cancellation process in SIS
- Organize and administer required training for the Local Admin School role in SIS
- Process term activation each term, collaborating as needed with ITS SR Support, SFS, and other units
- Design solutions that leverage SIS functionality to improve services to UREG, schools, departments, and administrative units
- Work with school registrars to monitor SIS SR queries and update student records accordingly
- Oversee development of academic structure in SIS
- Prepare requests for adding new programs, plans, subplans, and subject codes in SIS; submit requests to ITS SIS SR Support and communicate with relevant units when updates have been completed
- Coordinate with enrollment reporting coordinator as needed when making changes to academic structure that will potentially impact reporting
- Coordinate with colleagues in the International Studies Office (ISO) and SFS as needed when making changes that can impact scholarships, grants, or visa status
- Create new academic org/group/plan/subplan for special populations of students (e.g., PhD+, visiting graduate researchers)
- Support UREG team in providing high quality services to students, families, and the university community. Respond to inquiries from students, families, and university colleagues professionally with compassion and a willingness to help them navigate the complex processes of a large research university.

- Excellent analytical skills-ability to independently define problems accurately and concisely, using both quantitative and qualitative methods, develop and execute one or more solutions, and evaluate its effectiveness
- Ability to work successfully with individuals from diverse backgrounds, cultures, and life experiences
- Ability to achieve success within a rapidly changing and, at times, uncertain environment-must be comfortable with and inspired by the prospect of change
Required Education
- Bachelor's degree, four years of higher education or student records experience may be substituted in lieu of degree
Required Experience
- Significant student records experience
Preferred Knowledge, Skills, and Abilities
- Knowledge of the policies and procedures of PeopleSoft or other student information systems
- Ability to independently analyze and redesign business processes
- Prior knowledge of academic requirements
